Meeting with TVP in Vietname General charges - Customs charges -D/O -THC -Handling fee - Cleaning fee - Trucking I, Processing HCM - Bavet Border II, Period processing at HCM Clearance Processing: How long will it take to finish? Trucking: How long will it take from HCM port to Bavet give example: - Eta HCM port: 4am in the morning (16 Jan 09) - both Cat Lai and VICT - Eta HCM port: 9am in the morning (16 jan 09) - both Cat Lai and VICT - Eta HCM port: 11am in the morning (16 Jan 09) - both Cat Lai and VICT - Eta HCM port: 02pm in the afternoon (16 Jan 09) - both Cat Lai and VICT - Eta HCM port: 5pm in the evening (16 Jan 09) - both Cat Lai and VICT Conclusion: how many days from time and date arrival at HCM to BVT will be able to be arranged. III, OT charges : Sat afternoon - be able to do customs clearance with OT both VICT and Cat Lai? mean that : cargo not yet arrive port until 4pm, then can we proceed with OT clearance at CTL and VICT? Note: VICT is to be arranged under port systems Sat evening: 6 or 8pm - can OT or not? both VICT and Cat Lai, - if can not, what time will be possible to pay OT, how much will be charged? per set? per ctnr? -= both VICT and Cat Lai, Sunday: - can OT or not? - if gratuity, how mcuh will be ok? - Please check (some urgent shipment have to be done even on holiday/ Sunday - able or not? Conclusion: time available to be able to proceed customs clearance under OT charges IV, Problem and limitation of responsiblities: - cargo broken down: repair at the point of truck damaged? resend truck to replace the broken one? any otherways? - cargo lossing or seal was cut on the way: How can be settled? responsible or not? Conclusion : how can you settle the problem happened? Conclusion: How big/limitation of your responsiblities? V, Service: - How good your service provide to customers? - when customers not ask any updated information, your staffs will ignor? this one i am facing with some of my partner, so they should inform us as immediate as your side can do - mean that no need customers ask first, then they will report, this one we side can not acceipt - fast check and reply mail - one problem can solve have to solve immediately, Ex: Truck will broke down at a point on the way, please do as following: - report this immediately to ours, find faster way solve the problem, no need to ignore Ex: give Example of Teng Lay performance of truck problem - dare to decide can or can not do - report ctnrs arrival time at HCM when the vsl arrive before 2-3 days, -before date and time arrival at HCM one or two days, HCM side have to inform/ update Hanjin immediately (unless Hanjin staff ask first, then HCM inform, it is not the need of us - mean that HCM side have to always inform and update us), then if any change due to late arrival of vsl at HCM, it have to be updated promptly. - it is important for us to update the time arrival at Bavet (the exact time), once we can get that time arrival at bvt, I can check directly and arrange from BVT to factory in Cambodia on time with Teng Lay. - processing of how to solve the problem, ex: truck broken down (first driver call to you, you settle,....) conclusion: - report any updated information of all shipment tracked immediately even Hanjin has yet been asked, - problem will be solved immediately without hesitation/ can not be waited - everything completed with problem, then report, this is not accepted VI, Quotation: - please give details of each expense - quotation provided is covered all charges ? - there will no additional charges from quotation?
